The administrator's guide

You run the school: the student list, the team, the timetable, the ground rules and the subscription. Here is the order in which those jobs fit together best.

In brief

  • The four steps of a new term, in the order that avoids backtracking.
  • What falls to you each week, and what runs by itself.
  • The actions reserved to your role.

Preparing a new term

Each step builds on the one before: laying down the timetable before creating groups means starting over.

  1. Create levels and classes Levels describe progression, classes group students together. The two are independent. See Students, levels and groups.
  2. Import your students The spreadsheet template takes up to two parents per student and creates any missing levels and classes along the way. See the Excel import.
  3. Invite your teachers Each one gets an email and chooses their own password. Then record the subjects they teach. See Teachers and subjects.
  4. Lay down the timetable You enter weekly slots, not individual lessons: Kiteba rolls them out for you. See Planning and sessions.
Declare the holidays straight away

Holiday periods automatically remove the sessions that fall inside them. Entering them before you build the timetable saves you cancelling dozens of lessons by hand later.

What only you can do

  • configure the school and switch features on or off;
  • import students and teachers from a file;
  • lock an assessment or an attendance sheet;
  • send a message to a wide audience — all parents, the whole team;
  • manage the subscription, the options and the invoices;
  • export all of the school's files.
