Setting up your school
From the sign-up page to your first scheduled lesson. Allow twenty minutes for the setup, and a good hour if you import your students straight away.
In brief
- The four compulsory steps before you reach the dashboard.
- What to have at hand so it goes quickly.
- Where to start once you are through the door.
Signing up
Signing up creates your school, your administrator account and your 15-day trial in one go. No card details are asked for.
- The name of your school It appears in the app, in the emails sent to families and on report cards. You can correct it later in the settings.
- Your web address Kiteba checks availability as you type. Keep it short and stable: this is the address your teachers and families will type every day.
- Your administrator account Name, email address and password. This address will receive the important alerts for the school — prefer a role address to a personal one.
The exact name of the school, an email address you can open right away, and — if you want to carry straight on — your student list in a spreadsheet.
Verifying your email
A welcome email sends you a six-digit code. Enter it to unlock your account.
- The code is valid for 15 minutes.
- You get 5 attempts; after that you have to request a new one.
- If it does not arrive, check your junk folder before requesting another.
The initial setup
This screen cannot be skipped: until it is finished, the administrator is brought back to it at every sign-in. Everything on it stays editable afterwards from Settings.
| Setting | What it is for |
|---|---|
| Kind of school | School, music school or training centre. It sets the wording used across the app and whether the parent portal is on. See the three kinds. |
| Identity | Logo, address, website. These appear on report cards and on absence notes exported as PDF. |
| Time zone | It drives the times shown on sessions and the timestamps on attendance. Worth checking if your school is not in the same zone as you. |
| Working days | Monday to Saturday by default. An unticked day disappears from the timetable: nothing can be shown or scheduled on it. |
| Features | Six switches: attendance, assessments, messages, announcements, parent portal, student portal. Whatever you switch off disappears from every role's menu. |
The next screen offers you a paid plan, but it is optional: your trial has already started and runs for 15 days. You can decide later, once you know what you need.
The guided tour
A short tour walks you through the key screens — five steps for an administrator, four for a teacher, two for a student or a parent. It shows only once per person, and everyone gets their own on first sign-in.
Your first three jobs
Once on the dashboard, the order that saves the most time:
Stuck at a step?
Reaching the dashboard means passing a series of checks. If you are sent back, one of them is not satisfied:
- your email address is not verified — enter the six-digit code;
- your password must be changed — this applies to accounts created by an administrator;
- the initial setup is unfinished — administrator only;
- the guided tour has not been seen;
- the trial has expired — see Billing and subscription;
- the school is suspended — contact support.
